Please take the time to understand the traveler’s terms and conditions detailed below prior to booking with Thrive Collective. You are required to confirm your agreement to these terms and conditions as part of the booking process.

1. This booking is a contract
When you book a retreat with Thrive Collective, you will be deemed to have agreed to the traveler’s terms and conditions and the details regarding the trip as listed on our website. If you are booking a trip for multiple people, then all travelers in that booking will be deemed to have read and agreed to the traveler’s terms and conditions.

2. Payment and Deposit
In order to confirm your reservation, a non-refundable deposit is required. Full payment is due no later than 60 days prior to the retreat start date. We reserve the right to cancel any reservation if the final balance is not received by that deadline.

For bookings made within 60 days of the retreat start date, an agreed-upon payment plan may be established. Unless otherwise agreed to, all outstanding balances must be paid in full no later than 30 days prior to the retreat start date.

If any scheduled payment is missed and we are unable to reach the guest after reasonable attempts to do so, and no alternative payment arrangement has been agreed upon, the guest’s reservation may be canceled. If a guest has not completed payment and cannot be reached within 21 days of the retreat start date, their spot will be deemed forfeited and may be released to another participant. Any payments previously made will be subject to the cancellation terms outlined in this agreement.

3. Guest Cancellation Policy

Your deposit is non-refundable, as it secures your place and allows us to commit to venues, staff, and retreat experiences in advance. Final balances are due 60 days prior to the retreat start date. Because Thrive Collective is required to make full payment to our venue and partners at that time, all payments (including final balances) are non-refundable once made.

If you are unable to attend, you are welcome to transfer your spot to another guest. If we are able to fill your space from our waitlist or through a replacement you provide, we will do our best to offer a refund (minus the non-refundable deposit). If you arrive late or leave the retreat early, no refund will be issued.

We recommend purchasing travel insurance to protect your investment. In the event of extraordinary or unforeseen personal circumstances, please reach out. While we cannot guarantee refunds, we will always approach each situation with care and aim to find a fair and reasonable solution where possible.

4. Cancellation by Thrive Collective

While we fully intend to host every retreat as planned, Thrive Collective reserves the right to cancel or reschedule a retreat due to unforeseen circumstances, including but not limited to safety concerns, natural events, venue issues, or circumstances beyond our control (Force Majeure). In the unlikely event that we must cancel a retreat, guests will receive either:

  • A full refund of all payments made (including deposit), or

  • The option to transfer their payment as credit toward a future Thrive Collective retreat.

Please note that Thrive Collective is not responsible for non-refundable travel expenses such as flights or personal accommodations booked outside of the retreat container.

5. Passports, Visas, and Flights
You are responsible for obtaining all required travel documents for countries you will visit during the retreat. For many countries, passports must be valid for at least 6 months beyond the duration of the trip. Visa information will vary location to location, and details will be included in your trip’s logistics. You are responsible for booking flights to the retreat. We can help find options, but cannot book or cover costs for flights. We are not responsible if you are refused entry into the country because of incorrect travel documents and this event will not result in a refund.

6. Travel Insurance
Thrive Collective does not offer this insurance, but you can purchase it through an outside company. Each client is 100% responsible for any loss, penalties, fees, or other financial consequences arising out of booking a trip or the cancellation of a trip.

7. Extra Activities & Retreat Schedule
The website page for your retreat will list what is included and what is excluded in the price of your retreat. Optional activities are not included in the price and are not included in this agreement. Any assistance provided by a third party does not render Thrive Collective liable for them. The schedule, activities and teachers are subject to change.

8. Discretion to Deny Bookings
We reserve the right to reject any client booking at any time prior to the start date. In this case, we will provide a full refund or retreat credit at Thrive Collective’s discretion.

9. Photography/Videography
Any photography/videography from the retreat will be granted as use for our marketing and promotional purposes on a royalty-free basis. If you would like to be excluded from photography/videography during the event, please let us know ahead of time and we will do our best to accommodate you.

10. Health, Immunizations, and Travel Warnings
Each guest assumes full responsibility for researching the safety and security of countries that will be visited. Clients may visit their physician to know what vaccines are recommended. By booking a trip with Thrive Collective, you confirm that you are in good health and capable of performing the activities on the trip you booked. You are also confirming that you are able to care for yourself during the trip and do not have any medical conditions that could cause risk for yourself or others during the trip.

10 A. Mental, Emotional, and Physical Fitness for Participation
By participating in a Thrive Collective retreat, I represent that I am mentally, emotionally, and physically capable of participating in retreat activities without requiring supervision, crisis intervention, psychiatric care, or medical monitoring beyond what Thrive Collective can reasonably provide.

I acknowledge that Thrive Collective is not a medical, psychiatric, psychological, or trauma-treatment program and that no Thrive Collective staff member is acting as my therapist, psychologist, psychiatrist, physician, or mental health provider.

Participants are responsible for disclosing any known medical, psychiatric, psychological, behavioral, trauma-related or other condition that may materially impact their ability to safely participate in retreat activities or that may require additional supervision, accommodation, crisis intervention, or emergency support. Thrive Collective reserves the right to decline or remove participants when such conditions cannot be safely accommodated within the retreat environment.

Participants are solely responsible for any effects resulting from alcohol, prescription medications, recreational drugs, supplements, sleep deprivation, dehydration, or any combination thereof. Thrive Collective shall not be responsible for monitoring participant consumption or interactions between such substances and retreat activities.

Participants acknowledge that retreat activities may evoke emotional responses, memories, or psychological reactions. Thrive Collective makes no representation that retreat activities are appropriate for any particular mental health condition, trauma history, or psychological circumstance. Participants are solely responsible for determining, in consultation with their own healthcare providers, whether participation is appropriate for them.

10 B. Emergency Contact & Intervention Authorization
By participating in a Thrive Collective retreat, I authorize Thrive Collective, its employees, contractors, facilitators, retreat leaders, agents, and representatives to contact my designated emergency contact(s), family members, medical providers, emergency medical services, law enforcement, transportation providers, travel insurers, or other appropriate parties if Thrive Collective reasonably believes that:

(a) I may pose a risk to myself or others;

(b) I am experiencing a medical, psychiatric, psychological, emotional, or behavioral emergency;

(c) I am unable to adequately care for myself or make informed decisions regarding my safety and well-being;

(d) I require emergency medical evaluation, treatment, transportation, supervision, or assistance; or

(e) emergency circumstances otherwise warrant such communication or intervention.

I authorize Thrive Collective to share information reasonably necessary to facilitate my care, safety, transportation, emergency response, or coordination with my emergency contact(s) and appropriate professionals.

I understand and agree that Thrive Collective is not a medical provider, mental health provider, crisis intervention service, or emergency response organization. Any actions taken by Thrive Collective in response to a perceived emergency are undertaken solely as a courtesy and in good faith for the protection of participants and others.

I agree that Thrive Collective shall not be liable for decisions made in good faith regarding emergency communications, transportation arrangements, requests for medical evaluation, contact with emergency contacts, or referrals to medical or mental health professionals.

Any costs associated with medical treatment, emergency transportation, hospitalization, lodging, travel changes, supervision, escorts, security, crisis intervention, or other emergency services shall be the sole responsibility of the participant.

11. Assumption of Risk
Thrive Collective is dedicated to your safety on every trip, however you must take responsibility for your own safety. You understand that you must assume the risks and hazards inherent with travel. These risks and hazards may include, without limitation, delays, injury, illness, death or other unanticipated events, and may be caused by force majeure events, the negligence of Thrive Collective, or other persons (including third party operators), the intentional and/or criminal conduct of others, or other circumstances. Certain locations are remote and require additional travel time away from city centers and towns. As such, medical attention may not always be readily available, or may be of different quality compared to what is available at home. Also, you may be visiting places where the political, cultural and geographical environment is very different from where you live, and in some cases, these differences may present increased risks and/or challenges. We use reasonably available information from the U.S. government, applicable foreign governments, and reports from our contacts in planning each trip itinerary, and assessing the viability of each trip itinerary as the start date approaches. However, it is your responsibility to acquaint yourself with all available and relevant travel information for your destination and the nature of your itinerary. You acknowledge and agree that your decision to travel is made after having considered this information, and you expressly assume the personal risks involved with such travel.

Indemnification: The guest recognizes that there is risk involved in the types of activities offered. Therefore the participant accepts financial responsibility for any injury that the participant may cause either to him/her, or to any other participant due to his/her negligence. Should the above-mentioned parties, or anyone acting on their behalf, be required to incur attorney’s fees and costs to enforce this agreement, I agree to reimburse them for such fees and costs. I further agree to indemnify and hold harmless Thrive Collective and the hosting organization, their principals, agents, employees, and volunteers from liability for the injury or death of any person(s) and damage to property that may result from my negligent or intentional act or omission while participating in activities offered. This includes but is not limited to parks, recreational areas, playgrounds, areas adjacent to main buildings, and/or any area selected for training.

12. Limitation of Liability and Release
You acknowledge and agree that Thrive Collective and its parent, affiliates, subsidiaries, officers, directors, shareholders, members, and employees, shall not be liable for any direct, indirect, consequential or incidental damage, liability, injury, loss, cost or expense you may incur (including any claim relating to personal injury, illness, death, property damage or loss, delay or other inconvenience) arising out of, or by reason of (i) the acts or omissions of any third-party operator, (ii) the negligence of any of the Thrive Collective Parties, (iii) any acts or omissions of any other parties or (iv) force majeure events. You release the Thrive Collective Parties from any and all claims, liabilities, losses, expenses, damages, demands, actions, causes of action, lawsuits or sums of money of any kind arising out of, by reason of, resulting from and/or related to any trip you may book and/or participate in; and you understand and acknowledge that you are fully responsible for and expressly assume any and all risks, whether known or unknown, in connection therewith.

13. Privacy Policy
Any personal information that we collect about you may be used for any purpose associated with the operation of a trip, or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the trip.

14. Food Allergies and Allergies Notification, Acknowledgement, and Release of Liability
An environment free of allergens, including but not limited to food allergens, cannot be guaranteed on a Thrive Collective retreat. We do our best to accommodate for food allergies, but are not able to guarantee entirely allergen-free environments. Therefore, the released parties cannot guarantee that any particular food product is free of all traces of any particular allergen, that consumption of a food product will not result in some form of allergic reaction, or that the participant will not come into contact with any allergens while in attendance on a Thrive Collective retreat. The undersigned acknowledges and agrees that i) she/he is aware of such risks and that participation in the event will expose the participant to food, activities and persons that may result in exposure to allergens and injury, and in that regard by assuming such risks, the participant hereby fully releases and discharges Thrive Collective from any and all liability and/or responsibility to the participant, the undersigned, or any third party for death and/or injuries to the participant, and/or any direct, indirect, punitive, incidental, or any damages that arise out of or relate to participant’s participation in a Thrive Collective retreat and/or exposure to food allergens.

15. Updating of Terms & Conditions
hrive Cllective reserves the right to update and/or alter these Terms & Conditions at any time. Current information can always be found on our website and any updates and/or changes will supersede any previous versions.

16. Guest Experience & Refunds

Thrive Collective is committed to thoughtfully curating and delivering a high-quality retreat experience. However, retreats inherently involve travel, third-party accommodations and service providers, weather, transportation, excursions, local infrastructure, and other circumstances that may be outside of Thrive Collective’s reasonable control. As with any travel experience, unexpected changes, inconveniences, disruptions, or differences in personal expectations may occur.

While Thrive Collective provides the structure, programming, accommodations, experiences, and support outlined for each retreat, each guest is responsible for how they choose to participate in and experience the retreat. Individual preferences, expectations, or dissatisfaction with elements of the experience do not entitle a guest to a full or partial refund.

Except where otherwise expressly stated in these Terms or required by applicable law, refunds or credits will not be provided based on subjective dissatisfaction with the retreat, accommodations, meals, excursions, other guests, itinerary changes, or circumstances outside Thrive Collective’s reasonable control.

If an issue arises during a retreat, guests are expected to bring it to the attention of the Thrive Collective team as soon as reasonably possible so that we have an opportunity to address it during the retreat. Raising a concern after the retreat that was not brought to our attention while there does not create an entitlement to compensation or a refund.

Thrive Collective may, in its sole discretion, choose to offer a refund, partial refund, credit, or other accommodation as a gesture of goodwill. Any such gesture is voluntary and does not constitute an admission of liability or create an obligation to provide the same remedy in other circumstances.


Waiver
RELEASE AND WAIVER OF LIABILITY
As consideration for being permitted by Thrive Collective to participate in these activities, I hereby agree that I, my assignees, heirs, distributees, guardians, and legal representatives will not make a claim against, sue or attach the property of Thrive Collective, their affiliates, employees, agents or volunteers or any of their affiliated organizations for injury or damage resulting from acts, howsoever caused, by any employee, agent, or contractor, or any of their affiliated organizations, as a result of my participation in a Thrive Collective retreat. I hereby release Thrive Collective, and any of their agents or affiliated organizations from all actions, claims or demands that I, my assigns, heirs, distributees, guardians, and legal representatives now have or may hereafter have for injury, damage, or death resulting from my participation in a Thrive Collective retreat. I am medically, physically, emotionally and in all respects fit and able to participate in Thrive Collective trips. I agree I will be fully and financially responsible for my own physical condition and well-being during the retreat, and will follow the safety precautions and instructions prescribed by Thrive Collective. I acknowledge that Thrive Collective may make suggestions from time to time that are intended to help me and my well-being. However, I take ultimate responsibility for my choices and realize that Thrive Collective is not a licensed medical provider, and that I must consult my doctor.

I acknowledge that Thrive Collective may make suggestions from time to time that are intended to support my well-being. However, I take full responsibility for my own choices and understand that Thrive Collective is not a licensed medical provider. I agree that it is my responsibility to consult my doctor for any medical concerns.

If I experience pain or discomfort during the retreat, I will adjust the guidance offered by Thrive Collective to accommodate my individual needs. I will not hold Thrive Collective responsible for any pain or discomfort I experience during or after the retreat. I understand that the activities offered during this retreat are not a substitute for medical care. I acknowledge that Thrive Collective is not qualified to perform spinal or skeletal adjustments, diagnose conditions, prescribe medications, or treat physical or mental illness.

Participants are free to leave the retreat venue, retreat property, or official retreat activities at their own discretion unless otherwise prohibited by applicable law or local regulations.

Any activity undertaken outside the official retreat itinerary, including but not limited to sightseeing, dining, transportation, shopping, excursions, social activities, overnight stays, or travel away from the retreat venue, is undertaken entirely at the participant’s own risk.

Thrive Collective assumes no responsibility or liability for a participant’s safety, actions, transportation, medical care, decisions, injuries, losses, damages, or well-being while participating in activities outside the official retreat itinerary or while away from retreat property.

Participants remain solely responsible for their own conduct, decisions, and personal safety when off retreat property or outside official retreat programming. Participants who choose to leave retreat property or official programming remain fully responsible for arranging their own transportation, accommodations, supervision, medical care, and personal safety.

Participant Conduct, Safety, and Removal

Thrive Collective reserves the right, in its sole discretion, to remove a participant from any retreat activity or from the retreat entirely if Thrive Collective reasonably determines that the participant:

(a) poses a risk to themselves or others;

(b) threatens, harasses, intimidates, or behaves aggressively toward guests, staff, venue personnel, service providers, or members of the public;

(c) engages in conduct that materially disrupts the retreat experience for other participants;

(d) requires a level of medical, psychiatric, psychological, or supervisory care beyond what Thrive Collective can reasonably provide; or

(e) otherwise compromises the safety, well-being, or experience of other participants.

In such circumstances, Thrive Collective may arrange transportation, emergency medical evaluation, communication with emergency contacts, or other appropriate assistance, but shall not be responsible for any resulting expenses.

Any participant removed from a retreat under this section shall not be entitled to a refund, credit, reimbursement, or compensation of any kind. Any costs associated with removal from the retreat, early departure, alternative lodging, transportation, travel changes, medical evaluation, medical treatment, supervision, escorts, security, or emergency services shall remain the sole responsibility of the participant.

By agreeing to the terms outlined here and elsewhere on the Thrive Collective website, I hereby release and discharge any rights or claims for damages or liabilities that may arise from my participation in a Thrive Collective retreat.

This Agreement shall be governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of laws rules.
